Privacy Policy
What we collect, how we use it, and the choices you have.
01The short version
- We collect what you give us on the contact form, by phone, text or email, or as a customer. We also collect what our aircraft capture while working on your property.
- We use it to reply to you, do the work, and improve how our models recognize livestock, fences and equipment. If you ask on the contact form, we also email you once, when we open for work.
- We don't sell personal information, and we never share your phone number with anyone for marketing.
- A photograph of a property can show people who are there when we fly. If you are in one, you can ask us to delete it.
- This site sets no cookies, and our analytics don't identify you.
- If you have a login to The Herdsmen App, we record your sign-ins, which of its pages you open, and any error it runs into.
- You can ask what information we hold about you, and ask us to correct or delete it.
02Who we are
The Herdsmen, LLC is a drone services company based in Columbia County, New York. This policy covers herdsmen.ai, The Herdsmen App, the way we get in touch with you, and the work we carry out on your property. “The Herdsmen,” “we,” “us” and “our” mean The Herdsmen, LLC.
03What we collect
- When you contact us. The request form asks for your name and email address. You can also give your phone number, where the work is, the services you’re interested in, and any details you want to add. Until we open for work, it also asks whether you’d like one email when we do. The form asks for nothing else. With your request, it sends which page of this site you were on before the form.
- When you open the contact page. Cloudflare Turnstile checks in your browser that a person is using it. It works from signals about your browser and connection, including your IP address, and gives the form a token. When you send a request, we check that token with Cloudflare, along with the IP address the request came from. It sets no cookies on this site.
- When you call, text or email us. Your number or address, and what you tell us, including a voicemail or a text left on our line.
- When you become a customer. The people we deal with at your farm or estate, with their name, email address, phone number and job title; each property’s address and where it is on the map; and our own notes about the work.
- When we fly your property. Aerial and thermal imagery, video, flight logs and GPS positions from the mission, along with the findings we report, such as animal counts, fence damage or panel condition. A photograph of a property can show people who live or work there, or who are visiting when we fly. We don’t fly to photograph people, and our models don’t look for them. If someone who appears in a photograph of your property asks us, we’ll delete that photograph, unless we’re required to keep it for legal reasons. It leaves The Herdsmen App straight away, and its files, the smaller copies and any copy used to train our models leave our storage on the timing under “Deleting” below. A model that has already learned from it keeps what it learned, and we can’t reach a copy someone has already saved.
- When you use The Herdsmen App. Your name, email address, phone number and job title, which we hold for your farm or estate already. You can change all of them but the email address yourself, and we keep a record of the change. Each sign-in, sign-out and failed sign-in, and each change to your password or two-factor setting, with the time, the IP address and the browser it came from. Which pages of the app you open, such as a property or a day. When you send us a message through the app, we record that you sent one and its topic. The message itself reaches our inbox as an email, with your name, your farm or estate, your role and the properties you can see.
- When you open an email from The Herdsmen App. The emails the app sends you, such as an invitation, a code for a new password or word that a report is ready, show our logo. Your mail program, or your mail provider for it, fetches that picture from this site when it shows you the email. As with any request to the site, the servers that deliver it process the IP address the request comes from. The picture is the same file at the same address for everyone, with nothing in it that says who you are, and we don’t use it to tell whether an email was opened.
- When you visit this site. The site sets no cookies. We use Cloudflare Web Analytics, which counts visits in aggregate: pages viewed, referring sites, browser and device type, country, and how long pages take to load, all without cookies and without identifying you. As with any website, the servers that deliver and protect it process your IP address to do so.
04How we use it
- To reply to requests, and to plan, quote and carry out work.
- To see which pages of this site lead people to get in touch.
- If you ask for it on the contact form, to send you one email when we open for work. It is the only marketing email we send, and it has a link to unsubscribe.
- To deliver what a job produces: reports, maps, counts and imagery.
- To show you, in The Herdsmen App, what we captured on your property and what we found in it. What we found appears there once a person at The Herdsmen has released it. Nothing our models produce reaches you on its own.
- To reach you about your own job, by email, phone or text.
- To improve our detection models. Imagery from our missions is how our models learn to recognize livestock, fence damage and panel condition. They are built for those things, not for identifying people.
- To keep this site and our systems secure and working.
We don’t sell personal information. Apart from that one email, we don’t use it for advertising, ours or anyone else’s.
05Phone calls and text messages
If you give us your phone number, we use it to reach you about your own work: arranging a flight, telling you we are on our way, or passing on what we found. That might be a call or a text, and it always comes from one of us, about a job.
During a missing animal search, we note each call and text afterwards: when it was made, the number, who it went to, and for a text, whether it carried a map link or a photo. It is kept with the search’s record. Your report in The Herdsmen App lists each call and text with when it was made and what was sent, with no number and no name. If you ask us to delete your details, your number comes out of that log, and removing all of a customer’s records takes every number out of its searches’ logs. The call or text itself stays in the log, without a number.
We do not run a text message program, and there is nothing to sign up for. We send no marketing texts. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
Ask us to stop calling or texting and we will. Reply to any message, write to support@herdsmen.ai, or call (518) 227-0028.
06Your account in The Herdsmen App
Accounts are by invitation, and the invitation comes by email. We create one for each person at your farm or estate who should see the app. Their role decides what they can do. If you want, they see only some of your properties. You sign in with your email address and a password. The app suggests adding an authenticator app as a second step, which you can decline.
We keep a record of every sign-in, including ones that fail, with the IP address and browser. It lets us see if someone is trying to get into your account. Amazon Web Services, which handles the sign-in, also scores each sign-in for risk, such as a password known to have been stolen. We can see that score.
We also record which pages of the app you open, such as a property or a day. It lets us help when you call and say you can’t find last Tuesday’s photographs, and it shows us whether the app is being used. The app does not record which photographs you look at. An administrator at The Herdsmen can see your sign-ins and the pages you opened.
If the app runs into a fault and shows its error screen, it tells us which kind of page it was on and where in our code it broke, so we can fix it. It doesn’t send what was on the page, which property or day you were looking at, or anything you typed. That report is kept with our servers’ logs, for 30 days.
The app keeps you signed in with your browser’s own storage rather than a cookie. When you open a map, your browser fetches the satellite picture from Amazon Web Services, which sees which part of the map you asked for. “Open in Google Maps” is a link: if you press it, Google receives that one position.
A manager at your farm or estate sees who else there has a login, with their name, job title, email address, role and properties. Adding a person, changing what they see or removing a login is a request to us. Nobody can delete your property’s data from inside the app, whatever their role. Deleting is a request to us too.
08How long we keep it
- Contact requests reach us as an email and as a record in our own system, where the people at The Herdsmen who answer requests and plan our work can see them. A request we don’t add to a customer’s or a prospective customer’s records is deleted from that system after two years, counted from when it arrived. One we do add stays with those records. On its way in, a request can wait at Amazon Web Services for up to 14 days if our system can’t take it at once. The email is kept as long as we need it to respond and to keep ordinary business records.
- Copies of our systems’ email. So we can fix problems with the email our systems send, some of what they send us is also copied to our own storage at Amazon Web Services, and each copy is deleted about 30 days after it arrives. The copies include each contact request’s email, and any notice that an email we sent bounced or was marked as spam, which names the address it went to. Email you send us from your own address isn’t copied there, and neither is our email to you.
- The email when we open. If you ask for it, your address is kept on that list with when you asked and the words you agreed to. Ninety days after that email goes out, we delete every address on the list except those that unsubscribed, which we keep as the address alone, so we remember not to write to them again. If our email to an address bounces, or its owner marks it as spam, Amazon Web Services keeps that address alone on our list of addresses not to send to, so no email of ours goes to it again. A request to delete your details doesn’t take it off that list, for the same reason.
- Phone numbers are kept with the rest of your contact details, for as long as we need them to work with you. Ask us to stop using yours and we keep only enough to remember that.
- Imagery from your property. Photographs are kept at full size for a year, and the smaller copies the app shows for three years. Video is kept for a year. An image we are required to keep for a legal reason is kept until that ends. These periods are for our own storage.
- What we found, and the record of the work. That is when and where we flew, and what each image showed, written down without the pictures. We keep it as your property’s history, and it is not cleared on a schedule.
- Training copies. When one of us labels an image to teach the models, a copy goes into the training set and stays there after the original has gone, until you ask us to delete it.
- Deleting. Ask us to delete the imagery from your property and we will, unless we’re required to keep it for legal, insurance or regulatory reasons. That covers the photos and video, the smaller copies made from them, any copy used to train our models, and the copy held in our aircraft maker’s software. We don’t keep copies anywhere else: once a flight’s photos are uploaded, we clear them from the aircraft, its controller and the computer they came through. A deleted image leaves our storage for good about a week later, and a copy used to train our models about a month later. A model that has already learned from an image keeps what it learned. The record of the work stays: when and where we flew, and what we found, written down without the pictures.
- Account records. Sign-ins, and changes to your details, password and two-factor setting, go into our security record, which is not cleared on a schedule. If you ask us to delete your details, we take your name, email address and phone number out of the entries about you already in that record. Removing all of a customer’s records does the same. When we delete someone’s details for another reason, such as when they stop working for a customer, the entries already there keep them. The pages you opened are kept for a year, and older ones are cleared the next time you use the app. Our servers’ own logs of each request to the app, with its IP address and browser, are kept for 30 days.
09Your choices
- You can ask what information we hold about you, and ask us to correct or delete it.
- In The Herdsmen App you can change your own name, phone number and job title. To change your email address, or to have a login removed, ask us.
- Ask us to stop calling or texting and we will. The number then stays on our list of numbers not to call, with when and how you asked, even after the rest of your details are deleted. That is how we keep to it.
- Only your name and email are required on the contact form. Everything else is up to you.
- If you ask us to delete your details, that includes the requests you sent through the contact form: our record of each one, and the email it sent us. Copies of our systems’ email aren’t deleted early, so a copy of that email, or of a notice naming your address, goes on its own about 30 days after it arrived.
- If you asked for the email when we open, the link in it unsubscribes you, and so does replying to it or writing to us. If you ask us to delete your details, we unsubscribe your address and keep it on that list alone, so we remember not to write to you.
Contact us at support@herdsmen.ai or (518) 227-0028 and we’ll respond promptly.
10Security
This site and The Herdsmen App are served only over encrypted connections. Access to our systems and data is limited to the people who need it. Our services run on Amazon Web Services. The app offers a second sign-in step and suggests you turn it on. No way of sending or storing information is perfectly secure, but we take reasonable care to protect what you share with us.
11Children
Our site and services are for farms, ranches, estates and businesses, and aren’t directed to children under 13. We don’t knowingly collect information from them.
12Changes to this policy
If we change this policy, we’ll update the effective date at the top of this page. If a change materially affects how we use information you’ve already given us, we’ll tell you before it takes effect.
